ℹ️ Country-specific processes: Kenya, Finland, Vietnam, Serbia and Argentina. These guides provide general information. Additional or different steps may apply, and Toku will work with you directly to confirm the requirements for your situation. Continue submitting information and requests through Toku. Toku cannot offer or arrange Toku-sponsored benefits in these countries. Your applicable statutory entitlements and individual employment terms remain subject to local requirements and your signed agreement.

Pay schedule and payroll changes

Payroll is monthly. Toku will confirm your applicable pay date and deadline for payroll changes directly. Keep your information and requests up to date in Toku and contact payroll@toku.com if you need to confirm a date.

You will receive a payslip for each payroll cycle showing your gross pay, required deductions, and net pay. Keep your bank, tax, and personal information current in Toku, and notify us promptly if anything changes.

Your employment terms and probation

  • Toku coordinates the agreement process and will confirm how to complete any required signatures. Your signed agreement sets out your employer details and individual terms.
  • Indefinite-term contracts are the default. Fixed-term contracts must state the duration and reason, and repeated renewals can convert the relationship to indefinite employment.
  • Your probation period and notice requirements are set out in your signed employment agreement. Contact Toku to clarify the terms that apply to you.

Working hours and overtime

Your normal working hours are stated in your signed employment agreement and may vary by role, schedule, or applicable collective agreement. Toku does not expect routine overtime. Do not work overtime or additional hours unless your manager has approved them in advance. Any overtime or additional-hours treatment follows your signed agreement and mandatory local law.

Public holidays and rest days do not count against annual leave. Sick leave requires a medical certificate, and maternity and paternity leave each require seven days' notice. Bereavement and compassionate leave are not statutory and follow the contract.

ℹ️ Your employment agreement, Toku HRIS leave balance, and applicable local rules determine your exact entitlement. Contact Toku if the information shown in your account does not match your agreement or this guide.

Annual tax documents

Your annual P9 tax deduction card summarizes your pay and PAYE for the calendar year ending 31 December. Toku's published delivery timeline is by the end of February of the following year, with the completed form uploaded to Documents. This is our published service timeline; it should not be confused with your personal return-filing deadline. The KRA P9 form is completed by the employer after year-end. If your form is missing or you need it earlier, email payroll@toku.com.

You retain access to your Toku documents after leaving. For a missing or incorrect employer-issued form, email payroll@toku.com with your name, country, and tax year.

Benefits and provider communications
