👋 Welcome to Toku. Toku is your Employer of Record (EOR) in New Zealand. We employ you through the appropriate local Toku entity and manage the compliance, HR, payroll, and benefits administration connected to your employment. Your day-to-day work, goals, and role direction continue to come from the organization you support.
Your employment at a glance
| Item | What it means for you |
|---|---|
| Currency | New Zealand Dollar (NZD) |
| Payroll cycle | Monthly. Toku runs one payroll per month in New Zealand. |
| Standard working week | As stated in Schedule 1 of your signed employment agreement |
| Probation period | Set in the employment agreement, typically up to 6 months |
| Annual leave | 4 weeks after 12 months of employment |
📄 Your signed employment agreement governs your individual terms, including pay, working hours, probation, notice, and any custom arrangements. Mandatory local law also applies. If this guide and your agreement appear different, contact Toku before relying on the summary.
Pay schedule and payroll changes
You are normally paid monthly, on the last business day of the month. The standard monthly cutoff for payroll changes is generally the 10th, but the exact cutoff can vary by country and organization. Check the Toku: 2026 and 2027 Payroll Calendar and Deadlines or contact Toku before relying on a specific date.
You will receive a payslip for each payroll cycle showing your gross pay, required deductions, and net pay. Keep your bank, tax, and personal information current in Toku, and notify us promptly if anything changes.
Your employment terms and probation
- Toku issues a compliant local employment agreement for every hire, signed before the start date as New Zealand law requires.
- Employment types are permanent (full-time and part-time), fixed-term, and casual. Permanent is the default.
- Fixed-term agreements are only permitted where there is a genuine reason (for example, parental leave cover, a specific project, or a seasonal peak), and that reason must be stated in the agreement.
- Probation is set in the employment agreement, typically up to 6 months. New Zealand also allows a 90-day trial period at the start of employment; during probation, employees keep the right to challenge an unjustified dismissal, so a fair process still applies.
Working hours and overtime
Your normal working hours are stated in your signed employment agreement and may vary by role, schedule, or applicable collective agreement. Toku does not expect routine overtime. Do not work overtime or additional hours unless your manager has approved them in advance. Any overtime or additional-hours treatment follows your signed agreement and mandatory local law.
Leave entitlements
| Leave | Entitlement | Who pays |
|---|---|---|
| Annual leave | 4 weeks after 12 months of continuous employment | Employer |
| Sick leave | 10 days per year after 6 months of service | Employer |
| Bereavement leave | 3 days per bereavement (close family), 1 day (other) | Employer |
| Parental leave (primary carer) | Up to 26 weeks paid, plus up to 26 weeks unpaid | Government (capped at NZD 811.05 gross per week from 1 July 2026) |
| Parental leave (partner) | 1-2 weeks depending on length of service | Unpaid |
| Family violence leave | 10 days per year | Employer |
Unused sick leave accumulates year to year up to a cap of 20 days. Paid parental leave is government-funded and administered through Inland Revenue, so it is not an employer cost.
ℹ️ Your employment agreement, Toku HRIS leave balance, and applicable local rules determine your exact entitlement. Contact Toku if the information shown in your account does not match your agreement or this guide.

Annual tax documents
For the tax year ending March 31, your reported earnings and tax deductions can be reviewed in myIR. Inland Revenue generally issues automatic income-tax assessments from the last weekend in May through the end of July, where you qualify for an automatic assessment. That is an Inland Revenue timeline, not an employer deadline for uploading a year-end form. Your government tax information is accessed in myIR; any separate employer-issued documents provided to Toku will be uploaded to Documents. myIR income summary · Inland Revenue year-end timeline.
If an expected employer-issued document is missing or incorrect, email payroll@toku.com with your name, country, and tax year.
Leaving Toku: resigning
Give formal notice to Toku. As your legal employer, Toku needs your resignation letter. Upload it to Documents in your Toku account or email customer-success@toku.com, and notify your manager. Include your proposed last working day and follow the notice requirements in your employment agreement and any local formalities. Ask Toku before assuming a shorter notice period has been agreed.
Your offboarding documents. Toku sends your formal offboarding/termination document through DocuSign and uploads it to Documents in your Toku account. Review it for the applicable departure terms, final-pay details, and any actions required. We do not send a separate personalized general offboarding email. Required local certificates or provider documents may arrive separately from Toku or the local payroll provider.
Country-specific process: Toku reports your employment end date to Inland Revenue through payday filing. Your formal offboarding documents and final payroll explain the applicable pay and leave treatment. If you need additional proof of your employment, ask Toku. Your KiwiSaver savings remain with your provider; contact them about ongoing contributions and account options.
Benefits and provider updates. Benefits are managed through external carriers and providers. Depending on the benefit, you may receive an email or see your coverage status change in the provider’s portal or app. Confirm the exact cancellation date, any continuation or conversion options, and claim/action deadlines directly with the provider; do not assume all benefits end on the same date. Ending employment does not automatically cancel your pension or retirement savings. Review the benefits guide linked below and contact Toku if anything is unclear.
