Off-cycle payroll runs processed outside your regular schedule incur a service fee; larger payments may trigger an additional same-day wire fee.
Regular employee payroll and pre-funding deadlines
Employee pre-funding: For EOR, PEO, and payroll-only employees, additional payments over $5,000 USD require pre-funding. Whenever pre-funding is required, including termination or severance payments, submit complete changes and payment details in Toku by the 10th. Toku reviews those submissions and sends invoices on the 11th or next business day. Full funds must be received and cleared by the 14th for that month's payroll consideration. Funding received after the 14th moves the additional payment to the next eligible regular payroll cycle. Earlier cycle cutoffs still apply. Contractor deadlines are separate. See Additional Compensation Changes Over $5,000: Prefunding Approval.
Off-cycle processing is a separate arrangement: Paying a same-day wire fee does not guarantee employee payment that day or restore a missed regular cycle. Toku must confirm the off-cycle schedule and receive cleared funds before processing; the minimum four-business-day processing time still applies. Required statutory final pay is handled according to local law.
Before you start
- Off-cycle payrolls require a minimum of 4 business days from request submission to processing.
- Country-specific fees may be higher than the minimums shown; contact customer-success@toku.com for your organization's rates.
What is an off-cycle payroll?
An off-cycle payroll is any payroll run processed outside your regular schedule - for example, a mid-month bonus, a correction run, or an early payment for a departing employee.
These runs require additional processing coordination, which is reflected in the associated fee.
Off-cycle payroll fees
Minimum fee: $49 USD per person in the payroll run. Processing time is a minimum of 4 business days from the time your request is submitted and confirmed.
Same-day wire fee for large payments
When an off-cycle payment involves an amount exceeding $5,000 USD, a same-day wire is automatically required. This fee covers pre-funding costs: Toku must receive and confirm funds are available before processing can begin.
Minimum fee: $69 USD per person. Country-specific rates may be higher.
Fee summary
| Service | Minimum Fee | When It Applies |
|---|---|---|
| Off-cycle payroll | $49 USD per person | Any payroll outside your standard cycle |
| Same-day wire | $69 USD per person | Off-cycle amount exceeds $5,000 USD |
How to submit an off-cycle payroll request
- Log in to app.toku.com.
- Open People from the left-hand menu.
- Select the employee whose profile you want to update.
- On their profile, go to the Additional Compensation section. Use Change salary for a salary adjustment, or the Add button for a bonus, stipend, overtime, or correction payment - see How to change a base salary and How to add bonuses and one-time payments for the full steps.
Where charges appear
Off-cycle and same-day wire fees appear on your Toku invoice sent from billing@toku.com. For questions about a specific charge, email billing@toku.com.
Good to know
- Four business days is the minimum turnaround - we cannot process faster. Plan ahead where possible.
- Same-day wire is required only for off-cycle amounts exceeding $5,000 USD. Smaller payments follow the standard off-cycle process.
- Fees are per person, not per payroll run. A 10-person off-cycle run incurs fees for each of those 10 individuals.
- Local banking infrastructure and compliance costs vary by country, which is why some locations may have higher fees than the minimums listed.
⚠️ All payroll change requests must be submitted through the Toku platform. Requests made through other channels (email, messaging apps, etc.) cannot be processed and will not be actioned.
